At Bella Surfaces, we believe that trust is built through transparency. This page explains, in plain language, what information we collect when you reach out to us, how we use it, and the choices you have. Whether you are requesting a quote, asking a question, or simply browsing our collections, we want you to feel confident about how your details are handled.
By submitting any form on our website — whether it's a quote request, a contact message, or a catalogue download — you acknowledge and agree to the practices described below. If you have any concerns, please reach out to us before submitting your information.
What Information We Collect
We only collect what you choose to share with us. Our forms are intentionally lean, and every field exists for a specific reason related to serving your inquiry well. Here is exactly what each form captures:
- Get a Quote: The product you're interested in, your first and last name, email, phone number with country code, required size, quantity, and any additional details you'd like to share.
- Contact Us: Your full name, email, phone number with country code, ZIP or postal code, what you're looking for (natural stone, quartz, cabinets, or cut-to-size work), who you are (homeowner, designer, architect, builder, developer, or other), your project type, and your message.
- Catalogue Downloads: Your first name, last name, email, phone number with country code, and optionally a ZIP code.
Beyond what you submit, our website also automatically receives a small amount of basic technical data — such as your browser type and general region — as part of normal internet traffic. This is used only to keep the site secure, fast, and functional. It is never used to identify you personally.
How We Use Your Information
Everything you send us is used strictly for the purpose you intended when you submitted it. In practice, that means:
- Responding to your inquiry and preparing accurate quotations based on your project details.
- Coordinating orders, delivery, fabrication, or installation if you choose to proceed with a purchase.
- Providing customer support and honouring after-sales commitments.
- Improving our website by understanding which pages and products are most useful to visitors.
- Meeting our legal, tax, accounting, and regulatory obligations.
We do not sell, rent, or trade your personal information — ever. Bella Surfaces does not share your details with advertisers or data brokers, and we have no interest in monetising your privacy.
Who We Share With
Your information stays within Bella Surfaces. To operate the website and handle inquiries efficiently, we rely on a small number of trusted service providers. Each one receives only the minimum data required to do its job:
- Google Firebase (Firestore) securely stores your inquiry so our team can review and respond.
- Web3Forms delivers an email notification to our team when you submit a form.
- Google Fonts and Font Awesome load the fonts and icons used on the site — a standard CDN request that includes your IP address.
We may also disclose information if required by law, court order, or to protect the rights, property, or safety of Bella Surfaces, our customers, or others — but only to the extent strictly necessary. Because our infrastructure providers are based in the United States, your information may be stored on servers located outside your country.
How We Protect and Retain Your Data
Security is taken seriously. All form submissions are encrypted in transit using HTTPS and TLS. Access to inquiry data is restricted to authorised Bella Surfaces team members only, and we rely on reputable infrastructure providers with industry-standard physical and network security.
We retain your information only for as long as it serves a purpose:
- General inquiries are kept for up to 24 months from the last contact.
- Quote requests are kept for up to 36 months to support follow-up, order history, and warranty claims.
- Completed transactions are retained for the period required by applicable tax and accounting laws.
Once a retention period ends, your information is securely deleted or anonymised so it can no longer be linked to you. While we work hard to protect your data, no system is completely impenetrable — if we ever become aware of a breach that affects you, we will notify you and the relevant authorities as required by law.
Your Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access — request a copy of the information we hold about you.
- Correction — ask us to fix any inaccurate or incomplete information.
- Deletion — request that we delete your information, subject to legal retention requirements.
- Withdrawal of consent — withdraw any consent you've given, or object to further processing.
- Complaint — lodge a complaint with your local data protection authority if you're unsatisfied with how we've handled your information.
To exercise any of these rights, simply contact us . We respond within 30 days and may ask you to verify your identity first to protect your privacy.
